Rental Property Accounting: A Landlord’s 2026 Guide

Accounting for a rental property can be a challenge at times but should be taken seriously to maximize the advantages that come along with it. Yes, collecting rent is an obvious task of property management but is the accounting of the collection of rent being done properly?

Keeping track of the rental income, maintenance labor, materials, supplies, invoices and receipts can make the difference in the tax you pay at the end of the year. Record of these items should have supporting documents along with it, should the IRS decide to audit your tax return.

What goes on your Schedule E?

Most of these figures end up on the IRS Schedule E form, where rental income and expenses get reported each year across fifteen numbered lines:

  • Advertising: listing fees and tenant-placement costs
  • Management fees: what you pay a company like Utopia to run the property
  • Cleaning, maintenance and repairs: deductible in the year you pay them
  • Improvements: capitalized instead, then depreciated over 27.5 years
  • Mortgage interest, insurance and property taxes: the recurring big ones
  • Utilities and supplies: anything you cover on the tenant’s behalf
  • Depreciation: the residential schedule spread across 27.5 years

Utopia management has a full accounting department to assist with daunting accounting tasks. Meticulous statements are sent out every month for review and kept in a personal owner portal with access 24/7 with a secured log in. Should you have an accounting issue arise and need monthly statements from previous months or even years, you as an owner will have easy access to this information at the click of a mouse.

Software that does the day-to-day bookkeeping

A rental accounting app can tag each transaction as it lands and help self-managing owners keep tidy books:

  • Stessa: free core plan; Pro tiers run about $20 to $35 a month
  • Baselane: free landlord banking with automatic transaction categorization
  • QuickBooks: general-purpose accounting, but no built-in rent tracking or Schedule E export

If you are having trouble understanding the statement you received that month, you may call/email our office and speak with our accounting department or your property manager. Someone will always be available to help answer any questions you may have.

A 1099-MISC tax form will be mailed to you each year as well for tax season and easily handed over to your personal accountant to maximize your deductions. One change to note for 2026: that reporting threshold rose from $600 to $2,000 under the One Big Beautiful Bill Act, so a smaller owner may see the form show up differently this year. The accounting department handles the payments on behalf of owners for mortgage, HOA and tax payments as well.

Keep the rental money in its own account

Keeping the rental money in its own account pays off in a few ways:

  • Cleaner books: property-specific accounts can cut year-end reconciling time by roughly half
  • Fewer errors: less chance of missing a deduction or overstating income
  • Liability shield: for an LLC, commingling funds is the fastest way to lose the personal-asset protection
  • Deposits: most states require tenant security deposits to sit in a separate account anyway

Utopia wants to provide the true full service property management experience. Making sure the correct accounting is done each month/year is important to maximizing your rental investment.
