If so, before you start calling around, here are the published numbers to consider that will help you compare firms on an apples-to-apples basis. The Monthly Management Fee

Many owners hire a manager to buy back their own time; handing a San Francisco rental to a firm can be a good way to stop fielding calls at midnight while somebody else keeps the tenancy lawful and the building repaired. It’s not uncommon for small-scale owners to shop the percentage on its own, in an attempt to save money and keep things simple. The rates that do get published here sit in a fairly narrow band: 6% of monthly rent on Gordon Property Management’s full-service tier and 8% on the tier it recommends for out-of-state owners, 8% to 10% of collected rent from Utopia with no management fee charged while the property sits vacant, and $150 a month flat from Ziprent. Third-party sources put the wider Bay Area range at 4% to 12%, with San Francisco at the top of it — 8% to 12% for smaller portfolios.

Disregard how economical a headline rate looks; you are better off asking what sits behind it than signing for the lowest number on the page. Ask whether the fee runs on collected or on scheduled rent, and whether Rent Board work is included or billed by the hour — Gordon states that court appearances and San Francisco Rent Board proceedings are billed for time and effort on top of the percentage. While a higher rate is certainly dearer than its cut-price counterpart, a firm that absorbs those filings keeps your increases enforceable and your notices properly served.

The Tenant Placement (Leasing) Fee

One timeless habit that most property managers working in California will tell you about is reading the placement fee before the monthly percentage, because that is where the surprises tend to live. Ideally a firm should be more than willing to share its complete leasing terms, especially if a number has been quoted over the phone already. Gordon publishes leasing-only work at 85% of one month’s rent on its pricing page while its own fees article puts the leasing fee at 50%, which is exactly the sort of discrepancy to reconcile in writing before you sign. Ziprent charges $1,500 at lease signing, Utopia waives placement on properties under full management, and third-party sources put the general Bay Area figure at 50% to 100% of one month’s rent.

Even though you may have a good feeling about a proposal, you should always verify everything the company tells you, including what that fee buys: the photography, the syndication, the showings, and the screening of each applicant’s credit, income and rental history. With a reported median one-bedroom of over $4,000 a month, one month of vacancy costs more than the gap between the highest and the lowest placement fee published in this city.

Renewal, Setup, and the Fees This City Adds

Most agreements carry smaller charges of some kind; be it a renewal fee at the end of a term, a setup fee at the start, a markup on maintenance invoices, or an administrative charge that simply turns up on the statement. Gordon includes an annual administrative and technology fee of $75.00 per building in all three of its tiers, Ziprent prices renewals at $250 or bundles them into a $250-a-month tier, and third-party Bay Area figures put setup at $100 to $500 and renewals at $100 to $300.

Owning here has numerous compliance duties to contend with as well, and the right manager will help you stay on top of them so you can focus on what the building returns. These can include the Housing Inventory report due to the Rent Board by March 1 each year, which is what generates the rent increase licence an annual increase depends on; the annual Rent Board fee billed directly by the Rent Board each January and due March 1, $59.00 per dwelling unit for 2026, half of which an owner who pays in full may pass through to the tenant; and the Administrative Code Chapter 49 interest owed on any deposit held longer than a year, 4.2% for March 1, 2026 through February 28, 2027. Ask which of those the percentage covers and which are billed separately, because that answer moves more money than a point on the management rate does.

Flat Fee or Percentage?

The arithmetic runs the opposite way here to most markets, because the rents are so high. Against a reported median one-bedroom of over $4,000 a month, a flat $150 works out at under 4% of rent, where a 6% fee is about $240 and an 8% fee about $320 — and that flat operator charges $100 a month for each additional property, from a headquarters in Tiburon rather than an office in the city.

With an ordinance dating back to 1979, capital improvement petitions, Rent Board filings and just-cause procedure to contend with, what a flat rate does not buy matters more here than it would elsewhere; nothing on that pricing page addresses any of it, and the same price is charged in every one of the 639 cities the firm serves. Like the low monthly number, but not really keen to do the filings yourself? Then price both structures over a full year at your expected rent, with the compliance work counted in, and compare the totals rather than the headline.

Keeping the Cost Down

The firm worth hiring comes recommended by others who occupy shoes like yours; its portfolio is backed up by owners much like you, many of them holding a single property and trying to make the most of it while spending as little as they can on management. Look for a company that does the things it says and says the things it means: get the rate, the placement fee, the renewal charge, the maintenance markup and who files your Housing Inventory report each March into one written proposal, then set two of those side by side.
