Pleasanton owners can compare two very different published management models. Utopia states a typical 8% to 10% of monthly rent. Ziprent publishes a $150-per-property monthly plan, with tenant placement and lease renewals priced separately. California Pacific Realty publishes a tenant-placement term but not a comparable recurring management rate. Castle Management, Advent Properties, and MSB Property Management describe their services without a comparable public fee schedule on the official pages reviewed for this guide.
That does not make the undisclosed companies more expensive or less capable. It means a citywide average would be made from missing information. A useful comparison gives each manager the same address, rent, occupancy, lease end date, and repair history, then asks for every recurring and one-time charge in writing.

Why a Pleasanton Proposal Needs More Than a Headline Fee
A Tri-Valley rental can be a single-family home, condominium, townhome, or a multi-unit property. The management model should match the property and the owner’s role. A flat monthly plan may leave placement and renewals as separate decisions. A percentage proposal may use rent collected or scheduled rent, and it may have a minimum. Neither headline tells an owner what a first year will cost on its own.
California rules add their own operating calendar. For a covered rental, Civil Code section 1947.12 limits increases in a 12-month period to 5% plus the applicable CPI change, or 10%, whichever is lower. The statute has exemptions. Civil Code sections 1946.2 and 1950.5 set separate just-cause and deposit requirements. A manager should identify the property and tenancy before advising on any notice or deduction.
Six Different East Bay Operating Models
The official sites show several approaches. Utopia has a Pleasanton office and offers full-service residential and multifamily management. Ziprent has a Pleasanton tenant-placement page and publishes a flat-price, technology-enabled plan. Castle explicitly lists Pleasanton in its Alameda County service area. Advent serves Alameda County from Oakland and offers management, leasing, and real-estate services.
California Pacific Realty publishes East Bay pricing with full-management and lease-only offerings. MSB serves most of Alameda and Contra Costa Counties from Walnut Creek and works with homes through multi-unit buildings. Each is a different fit. Start by asking who handles an on-site visit, an occupied takeover, a vacancy, and a repair decision for this property.

Its Pleasanton page states a typical management fee of about 8% to 10% of monthly rent and lists marketing, screening, leasing, rent collection, maintenance coordination, accounting, inspections, and tenant communication.

Castle explicitly names Pleasanton on its Alameda County service page. Its official history dates the management company to 1986 and reports more than 1,700 multifamily units and over $750 million in assets under management. These are company-wide claims, not a Pleasanton portfolio. Another company article describes 1,800-plus units; the table uses the About-page lower bound with attribution.
Its pricing explanation expressly says rates are property-specific rather than a published standard schedule. The owner FAQ describes move-in/out inspections, annual unit walkthroughs, monthly reporting and maintenance staff/vendors; the service article describes quarterly single-family inspections. Advent’s Alameda County office is in Oakland. Its company history states a 2008 start and reports more than 850 client-owned rental units under management company-wide. The page also retains an over-800 history statement; neither number is a Pleasanton count. DRE matches the corporation, founder and Oakland address, with a separate 2011 licensing milestone.
Its residential services include a live maintenance line, in-house technicians and outside vendors. Unit inspections are described as every 12 months upon request, not automatic annual visits. The intake workflow describes assessment and agreement steps but supplies no fee amounts. California Pacific Realty publishes an East Bay pricing page with lease-only and full-management offerings. Its Full Management card states a tenant-placement fee of 50% of the first month’s rent. Its Lease Only card states 65% of the first month’s rent and a 25% lease-renewal fee.
The page does not state a comparable recurring monthly management amount, onboarding fee, or maintenance markup. The published placement figures are useful, but they do not cost a full year. Request the recurring rate, renewal terms for the proposed plan, and project-management charges in writing.
The owner-service page explicitly names Pleasanton. Its portfolio page reports more than 350 properties across California, not 350 Pleasanton rentals. Both company statements were checked September 28, 2026.

MSB advertises management across much of Alameda and Contra Costa counties on its services page. Its office is in Walnut Creek and its property types run from single homes to apartment buildings. Pleasanton is not specifically named in the current city list, so ask whether it will take the property.
Do not substitute the general percentages in MSB’s fee explainer for a company quote. The article describes industry examples, not an identified MSB price schedule. We confirmed MSB Capital Corp and its management DBA in DRE records, separately from the official history of operating since 1995. Rent increases depend on coverage and timing
For a covered rental, Civil Code section 1947.12 limits increases over any 12-month period to 5% plus the applicable change in the cost of living, or 10%, whichever is lower. The statute lists exemptions, including specified newer housing and qualifying separately alienable homes when the required notice is provided. Confirm coverage and the effective date before calculating an increase.
Just cause and no-fault terminations
Civil Code section 1946.2 requires just cause after a covered tenant has continuously and lawfully occupied the home for 12 months, subject to statutory exceptions. For a covered no-fault termination, the owner must provide relocation assistance or waive the final month of rent. The assistance or waiver equals one month of the tenant’s rent, and direct assistance is due within 15 calendar days of service of the notice.
Deposits now require records as well as timing
Civil Code section 1950.5 generally caps security at one month’s rent, with a limited small-landlord exception of up to two months. It requires an itemized statement and return of any remaining security within 21 calendar days after move-out. The statute also requires photographs at move-in for tenancies beginning on or after July 1, 2025, and photographs before and after work when a deduction is taken. Keep the records with the lease file.

What the Published Fees Actually Show
This market does not support a responsible percentage average. Utopia publishes a typical 8% to 10% management range. Ziprent publishes a $150-per-property monthly standard plan, while California Pacific Realty publishes placement terms but not a comparable recurring management amount. Castle and MSB still need comparable management quotes. Advent’s Natomas Chamber listing states 6.5% of monthly gross rent and 55% of one month’s rent for placement; it gives no effective date. The company details above link that source, checked September 30, 2026. Confirm current property-specific terms and service acceptance.
The published numbers also use different service models. Ziprent separates monthly management, placement, and renewal fees. California Pacific Realty separates lease-only and full-management placement terms. Utopia’s local page gives a typical management range but not the additional fee lines. Send every manager the same property and tenancy facts, then get every charge in a written proposal before deciding which rate is lower.

Questions Worth Asking Before You Compare
Describe the same property to each company: type, rent, occupancy, lease end date, repair history, and whether a resident is already in place. Then ask for management, placement, renewal, setup, inspection, maintenance, and cancellation terms. A quote that leaves one of those lines open is not ready to compare.
Ask where the maintenance decision is made, too. Get the non-emergency approval amount, after-hours process, vendor policy, and any project-management charge in writing. Those are the terms that tend to matter after the property is under management, not when the first proposal arrives.
Before You Sign
Does this company manage my property type in Pleasanton? What do I pay during a vacancy? Does a leasing fee apply to an occupied takeover? Who approves a repair, and at what amount? Who checks state-law coverage and keeps the deposit records? Those answers make a proposal comparable.
The lowest published number is not necessarily the lowest first-year cost. Choose the manager whose scope, fee schedule, and operating process you can understand well enough to hold them to.
